The IFS is looking to recruit an Events and Marketing intern, to join a busy and expanding Communications team.

The internship is for a 6-month period, starting no later than Friday 15 March 2013.

The successful candidate will administer a wide range of events for the Institute and assist with logging and managing marketing contacts on our in-house database. Day-to-day activities will vary and might include adding events to the IFS website, sending marketing emails and logging delegates to our in-house database or assisting with pre and onsite event co-ordination such as registration, catering and AV. In addition, the Events and Marketing Administrator will assist the Head of Public Relations with preparing data for migration to a new contacts database, due to go live in 2013, and will also help with other marketing activities such as the production of leaflets and posters.

This is a good opportunity to gain events and marketing administration experience at a high-profile, professional and friendly not-for-profit organisation.

Key responsibilities are to:

  • Ensure that a variety of events are administered smoothly and efficiently. This will involve working with other members of the admin team to market events and administer delegate responses, including invoicing and booking accommodation where needed.
  • Add events to the IFS website using the web administration system (training will be given) and manage an online events calendar.
  • Monitor the events team email, respond to general event enquiries and process delegates.
  • Assist with on-site event co-ordination. This will include registering delegates and helping to ensure that events run smoothly on the day.
  • Help to update, add and remove contacts from the existing database to ensure the data is ready for migration to a new contacts database.
  • Source appropriate contacts for marketing campaigns, working closely with the Head of Public Relations and other team members.
  • Help to co-ordinate the production and dissemination of marketing materials.
  • Assist with general administration when required.

Essential skills and experience:

  • Administration
  • Good working knowledge of Microsoft Office including Word and Excel
  • Some experience of liaising with stakeholders via email telephone and in person
  • Proven attention to detail
  • Strong communication skills
  • Willingness to learn but also to use initiative without constant supervision
  • Keen interest in gaining events and marketing experience
  • Willingness to be part of a busy and effective administration team and to ‘muck in’ and be flexible when required (some events will require the candidate to work outside normal office hours)
